Terms and Conditions of the Participation in the Central European Urology Meeting (CEM 2026)

Definitions

The terms used in these terms and conditions written in capital letters shall have the following meaning:

Terms and Conditions – These regulations constitute the content of the Conference Participation Agreement. These regulations DO NOT apply to accommodation agreement that the Participant independently concludes with a separate entity.
Agreement - depending on the scope of the Participant’s registration: the agreement on the participation in the Conference or any part thereof concluded between the Organizer and the Participant, in accordance with the provisions of the Terms and Conditions.
Conference Executive Organizer - the Conference organizer, i.e. ZiZ Centrum Edukacji sp. z o.o. with its registered office in Kraków, address: 31-131 Kraków, ul. Garbarska 13/3, NIP 675-144-18-83, REGON 121417864, entered in the register of entrepreneurs of the National Court Register maintained by the District Court for Kraków Śródmieście District in Kraków, XI Economic Division of the National Court Register under No. KRS 0000372884, with the share capital of: PLN 58,000.00 – hereinafter referred to as the Organizer. Conference Scientific Organizer - Fundacja Urodzeni Zdrowi with its registered office in Kraków, address: 31-123 Kraków, ul. Krupnicza 11, NIP 675-170-82-86, REGON 383819737, entered in the register of associations under No. KRS0000793169.
Conference - Central European Urology Meeting (CEM 2026) to be organized by the Organizer, in stationary form only, on 17-18.04.2026 in Kraków, in w CKF_13 Conference Center Fabryczna, ul. Fabryczna 13, 31-553 Kraków. The Conference is intended for persons authorized to issue prescriptions or persons involved in the trade in medicinal products.
Participant - a person participating, according to these Terms and Conditions, in the Conference or any part thereof, regardless of their status.
Urologist - specialist in urology (and other specialties) / a Participant authorized to issue prescriptions or involved in the trade in medicinal products.
Resident - urologist in-training / a Participant authorized to issue prescriptions or involved in the trade in medicinal products, who is in the process of obtaining their medical specialty.
Other specialist doctor - (such as medical oncologist, radiation oncologist, general surgeon) - a licensed professional qualified to practice medicine in the specialty field / a Participant authorized to issue prescriptions or involved in the trade in medicinal products.
Consumer
1. natural person entering into a legal transaction with an entrepreneur that is not directly related to their business or professional activity,
2. natural person concluding a contract directly related to their business activity, when the content of the contract indicates that it is not of a professional nature for that person, arising in particular from the subject of their business activity, disclosed under the provisions of the Central Registration and Information on Business.
GDPR - Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

Parties to the Agreement

The Parties to the Agreement on Participation in the Conference are the Participant and the Organizer.

Entering into the Agreement — the registration

The Agreement (registration) shall be concluded upon the performance of the following activities described in the Terms and Conditions:
1. the completion of a valid registration confirmed by the Conference Executive Organizer and
2. the payment of the full conference fee, specified in point V of the Regulations.
The registration for the participation in the Conference shall only be possible through the online registration form available at: https://cem-uro.com The online registration shall be available until April 2nd, 2026.
The Conference Executive Organizer reserves the right to terminate the registration before the said deadline when all the available entries are made. The information about the termination of the registration shall be published by the Conference Executive Organizer at https://cem-uro.com.
The online registration may be carried out only by the Participant personally as regards their participation in the Conference.
After the deadline specified in paragraph 2 above, and subject to space availability, registration will only be possible at the Conference Office, during registration at the venue, unless the Conference Executive Organizer individually consents to registration by another method. Consent to registration by another method may be granted, in particular, by confirming receipt of the registration.
The registration acknowledgment shall be sent automatically by the registration system following the proper registration. If you do not receive the confirmation of the registration within 5 days from the time of such registration, you should contact the Conference Executive Organizer to check whether the registration was correct.
Registration of stationary Participants (collection of conference materials) during the Conference will be possible during the opening hours of the Conference Office.
The Conference Office will be open on site: Friday, 17.04.2026; 14.30-19.00, Saturday, 18.04.2026; 8.00-16.30

The Conference program

Planned program objectives of the Conference is published at https://cem-uro.com.
The Organizer reserves the right to change the Conference program established after April, 10Th, 2026 for important reasons, of which Participants will be informed via e-mail immediately after the Organizer makes the decision to change.
Important reasons referred to above should be understood as circumstances beyond the control of the Organizer that hinder or prevent the implementation of the program in its original version, concerning the executive Organizer or subcontractors (e.g. force majeure, problems with the availability of speakers, technical failures).
When changing the program for the reasons indicated above, the Organizer will endeavor to ensure that the new program is at the same substantive level as before the change, and that the changed program elements are as close to the original version as possible. If a Participant who is a Consumer does not accept the aforementioned changes made by the Organizer, they have the right to withdraw from the Agreement, in whole or in part, no later than 5 days after receiving notification of the change. In such a case, the Organizer will refund the Participant the Conference fee, if it was already paid (however, if the Participant participated in part or in full, the refund will be reduced proportionally).

The conference fees

The conference fee shall depend on the Conference Participant status and the date of the full payment for their participation in the Conference in accordance with the fee specification below:
1. Registration fees till March 15th
  1. Urologist (and other specialist doctors) from CEUS countries - 200 EUR
  2. Urologist from CEUS countries – Residents – 100 EUR
  3. Urologist from other than CEUS countries – 250 EUR
  4. Urologist from other than CEUS countries – Residents – 150 EUR
  5. CEUS countries – Czech Republic, Slovakia, Poland, Hungary, Austria, Slovenia, Croatia, Romania
2. Registration fees from March 15th
  1. Urologist (and other specialist doctors) from CEUS countries - 260 EUR
  2. Urologist from CEUS countries – Residents – 130 EUR
  3. Urologist from other than CEUS countries – 325 EUR
  4. Urologist from other than CEUS countries – Residents – 195 EUR
  5. CEUS countries – Czech Republic, Slovakia, Poland, Hungary, Austria, Slovenia, Croatia, Romania
The conference fees presented above include Polish VAT.
The entity paying for the conference fee (the Participant) shall cover independently any and all costs, fees and charges due to third parties for the making of payments, including but not limited to the costs of international bank transfers.
If the amount of the conference fee booked in the Organizer’s bank account is lower than the amount provided above (in section V.1), the Participant shall pay to the Organizer, within 7 days from the call to do so, the missing amount of the fee which was due on the date of the first payment. Otherwise, the Participant shall have to make a supplementary payment to ensure the payment of the full conference fee applicable on the date of supplementing the original payment.
The amount of the fee shall depend on the time of its payment and not on the time of the registration.
The conference fee for the Urologist (and other specialties) and the Resident includes:
1. Participation in scientific sessions, workshops and medical exhibition
2. Certificate of participation
3. Catering on April 17th, 2026 – coffee break
4. Catering on April 18th, 2026 – 2 coffee breaks and lunch
Only Participants who registered for CEM 2026 and paid the required fee are entitled to participate in the chosen workshop ( there is no additional fee for workshops) subject to availability of places. Due to the nature of workshops there is a limited number of places for each workshop and so the registration for workshops shall undergo the following conditions: Only Participants of CEM 2026 are entitled to participate in workshops. Participant can, as part of the conference fee, participate in 1 workshop only after choosing the proper option while registering for the Conference, subject to availability of places and after completion of all the required formalities of CEM 2026 registration and participation.
The date of posting of the required registration fee on the Organizer’s bank account is crucial when qualifying for workshop participation.
The Conference Executive Organizer shall not provide services other than the services indicated directly in the Terms and Conditions, particularly it shall not provide accommodation, individual hotel bookings, tours, other trips and, therefore, they are not covered by the conference fee, and also, as a result, the Conference Executive Organizer shall not be responsible for their provision (including the provision of services only recommended by it).
The payment for the participation in the Conference may be made as follows:

4. by credit card during the Conference — only for payments accepted as “on-site registration”.In case of a payment by the bank transfer, the Participant is obliged to pay within 7 days after entering into Agreement (making a registration through the online registration form) as well as to send the confirmation of bank transfer immediately by e-mail to contact@cem-uro.com. In case of an online payment by the credit card or mobile payment, the payment is finalised during the registration process.
The Participant shall be liable for making a correct bank transfer including in the title of the payment “CEM 2026” and the first name and last name of the Participant for whom the payment is made.
After April 2nd 2026, the conference fee may be paid only on site during the Conference.
The participation in the Conference shall be possible only upon the presentation of the conference ID.

Cancellation of the participation in the Conference

A registered Participant in the Conference may cancel their participation without giving any reasons for the cancellation, on the terms described below.
Subject to paragraph 3 below (the Consumer's free right to withdraw from the Contract within a specified period), in the event of a declaration of withdrawal from the Contract received by the Organizer:
1. until March 31st, 2026, the Participant will receive an 80% refund of the full conference fee (all bank provisions are to be paid for by the Participant).
2. after March 31st, 2026, the Participant will not be entitled to a refund of any portion of the conference fee.
In the case of Participants who are Consumers concluding a Distance Agreement, they have, regardless of the right granted in paragraph 2 above, the right to withdraw from the Agreement within 14 days of its conclusion without providing a reason and without any additional fee. If the Consumer exercises this right, the Agreement shall be deemed null and void, and the fee paid by the Consumer shall be refunded in full immediately, and in any case no later than 14 days from the date on which the Organizer was informed of the exercise of the right to withdraw from the Agreement (the date of sending the notice of withdrawal from the Agreement). The refund will be made using the same payment method that was used by the Consumer in the original transaction, unless the Consumer has expressly agreed to a different solution; However, in no case will any fees be charged in connection with this refund. To withdraw from the Agreement, the Consumer may/should use the withdrawal form template attached as Appendix 1 to the Terms and Conditions (however, this is not mandatory).
The right to withdraw from the Agreement, referred to in paragraph 3 above, does not apply to the Consumer in the following cases: In-person conferences - pursuant to Article 38 paragraph 1 item 1 of the Consumer Rights Act - if the Organizer has fully performed the service with the express and prior consent of the Consumer, who was informed before the commencement of the service that after the Organizer has performed the service, the Consumer will lose the right to withdraw from the Agreement and has acknowledged this. If the Consumer exercises the right to withdraw from the Agreement after submitting a request to commence the service, but before it is fully performed, the Consumer is obligated to pay for the part of the service already performed up to the time of withdrawal. The amount of the fee due will be calculated proportionally to the scope of the service provided, based on the conference fee specified in the Agreement.
In addition to the right to withdraw from the Agreement, indicated in paragraphs 2 and 3 above, the Participant's right to terminate the Agreement in any manner is excluded, to the extent permitted by generally applicable law. The Organizer has the right to terminate the Agreement only in cases permitted by the Terms and Conditions or generally applicable law.
The declaration of withdrawal from the Agreement should be sent in any form, including:
1. by email to contact@uro-cem.com (the email containing the withdrawal should be sent from the email address provided during registration and/or otherwise confirm the identity of the Conference Participant),
2. by letter to the address of the Executive Organizer (the date of receipt of the declaration by the Organizer will be taken into account, while in the case of Consumers, the date the declaration was sent before the expiry of the withdrawal period will be considered).
Fees will be refunded:
1. in the case of a bank transfer to the bank account indicated by the Participant. All the information needed for an international bank transfer should be sent to the following e-mail address: contact@cem-uro.com
2. In the case of a credit card, only the card used for payment will be credited. To avoid any doubts, the Organizer emphasizes that the Terms and Conditions, including the right to withdraw from the Agreement, in principle, do not apply to an accommodation agreement that the Participant independently concludes with a separate entity of their choice (Article 38, Section 1, Item 12 of the Consumer Rights Act).

Personal data

The Data Controller of the Participant's personal data is: ZiZ Centrum Edukacji sp. z o.o., with the office registered in Kraków, 31-131 Kraków, ul. Garbarska 13/3, NIP 675-144-18-8, REGON 121417864, entered in the register of entrepreneurs of the National Court Register kept by the District Court for Kraków Śródmieście in Kraków, 11th Commercial Division of the National Court Register under KRS 0000372884, share capital: PLN 58,000.00 Personal data is processed according to the principles described below.

The provision of personal data contained in the registration form is voluntary, but necessary for participation in the Conference.
Consent to the processing of personal data for marketing purposes is voluntary.
The personal data provided will be processed for: taking part in the Conference (including the creation of an account) on the basis of Article 6(1)(b) of the GDPR;
1. the fulfilment of a legal obligation incumbent on the Data Controller (tax returns and accounts settlements), on the basis of Article 6(1)(c) of the GDPR;
2. pursuing a legitimate interest of the Data Controller of the personal data, in particular to assert or defend against possible claims, on the basis of Article 6(1)(f) of the GDPR;
3. direct marketing of the Data Controller's own services or those of third parties, but only if the Participant has given separate consents to this effect during registration (Article 6(1)(a) of the GDPR);
The Participant's personal data will be shared with:
1. subcontractors of the Organizer for the purposes of the Conference, including services of a subcontractor providing an online registration system used to register for the Conference (Mobile Madness Sp. z o.o., ul. Jana Twardowskiego 3 / 35, 35-302 Rzeszów, KRS 0000709762, REGON 368993527, NIP 813-376-58-46) , Przelewy24 (PayPro S.A. ul. Kanclerska 15, 60-327 Poznań, NIP 779-236-98-87, REGON 301345068) in case of payment through it, as well as accounting, legal or IT services of the Organizer,
2. in the event that the Participant gives the relevant consent during registration for marketing, the data may be made available, depending on the scope of the consent given, to other entities cooperating with ZiZ Centrum Edukacji sp. z o.o. with its registered office in Kraków, whose activities are related to the medical or pharmaceutical industry.
Personal data will be processed:
1. in order to participate in the Conference will be processed for the duration of the Conference and thereafter until the expiry of the statute of limitations for civil law claims, as well as for the period required by tax law,
2. in the case of consent to marketing activities, until it is revoked,
The participant has, to the extent and in accordance with the principles set out in the GDPR, the right to access the content of his/her personal data and the right to rectify, erase, restrict processing, the right to data portability, the right to object, the right to withdraw consent at any time without affecting the lawfulness of the processing carried out on the basis of consent before its withdrawal.
If it is found that the processing of personal data violates the provisions of the GDPR, you can lodge a complaint with the President of the Office for Personal Data Protection.
Participant's personal data will not be processed for the purpose of automated decision-making, including profiling.
Personal data will not be transferred outside the European Economic Area.

Liability

Participants agree to comply with the fire and occupational health and safety regulations in force at the Conference venue.
Participants are responsible for their belongings at the Conference venue.
Participants will be obliged to repair any damage caused in accordance with general principles specified by law.
The Organizer is liable to the Participant for compliance with the Conference Agreement. Liability principles are governed by the provisions of the Civil Code and, with respect to Consumers, the Act of 30 May 2014 on Consumer Rights.

IX. Final terms and conditions

In the case of the cancellation of the Conference for reasons attributable to the Conference Executive Organizer, the entire registration fee shall be refunded to the Participant. In the case of Consumers, general provisions of the Polish law shall apply.
The Organizer reserves the right to change the rules of organizing the Conference due to force majeure (including the COVID-19 epidemic).
The Organizer will notify the Participants about the change in the rules of organizing the Congress via e-mail, to the address provided during registration, as well as by placing an announcement on the website https://cem-uro.com.
The Organizer reserves the right to change, for important reasons, the program of the Conference.
To the extent permitted by Polish law, the Conference Executive Organizer hereby disclaims its liability for damages to the Participants related to the organization, holding, cancellation or postponement of the Conference. The Conference Executive Organizer shall not be liable for the benefits lost by the Participants in this respect. In the case of the aggregation of claims arising from contractual damage and tort, the Participant may request the remediation of the contractual damage only within the limits provided for above. In the case of Consumers, general provisions of the Polish law shall apply.
In the event of a dispute, the court with jurisdiction over the registered office of the Executive Organizer will have jurisdiction. General rules apply to Consumers.
Should any questions or complaints arise, please contact the Executive Organizer of the Conference by email: biuro@zizce.edu.pl or by phone +48 12 422-09-20.
If you submit a complaint, please provide a detailed description of your objections. Complaints will be reviewed by the Organizer immediately, but no later than 14 days after receiving complete information necessary to resolve the matter.
In the event of a dispute between the Organizer and a Consumer arising from the Agreement, the Organizer may agree to an amicable resolution in a manner agreed upon by the parties.
Rules regarding out-of-court redress are available on the websites of:
1. district (municipal) consumer ombudsmen,
2. social organizations dealing with consumer protection,
3. provincial trade inspection inspectorates.

The authorized entity in relation to the Organizer is the Trade Inspection, Małopolska Voivodeship Inspector of Trade Inspection in Kraków, ul. Ujastek 7, 31-752 Kraków, Małopolska Voivodeship, www.krakow.wiih.gov.pl, e-mail: sekretariat@krakow.wiih.gov.pl
Copying or distributing any works made available as part of the Conference is prohibited, unless otherwise agreed.
Participants may not provide any unlawful content in connection with their participation in the Conference.
The matters not governed by these Terms and Conditions shall be subject to the Polish law.
